Summary of Duties
The Facilities Advisor reports to the Manager, Finance and Facilities and will work closely with the members of the Facility Team to ensure the functionality, comfort, safety and efficiency of all Lakelands Public Health (LPH) buildings and equipment.
The Facilities Advisor will assist with ensuring all building equipment is working properly, coordinating and scheduling general maintenance, managing facility-related projects, liaising with property management, landlords, and other agents, monitoring and addressing facility-related concerns, maintaining the building security card access system, and assisting with tracking of building asset inventory.
This position may involve travel between offices including Peterborough, Port Hope, Lindsay and Haliburton and variations of the working day.
Experience and Qualifications
- Minimum 2 - 3 years of related experience
- Facilities Management or related education
- Knowledge of Occupational Health and Safety Act
- Demonstrated experience in coordinating facilities operations and projects
- Experience in a unionized and public sector setting is preferred
Essential Duties and Responsibilities
- Ensure building systems are working properly and maintained in accordance with safety standards and building codes
- Monitor facility issues to ensure they are addressed in timely manner
- Liaise with property management, contractors and custodial staff to coordinate and execute work with minimal disruption to programs, employees and clients
- Administer and maintain computerized security card access system, assign employee ID fob and/or badge, monitor access, and generate reports
- Assist with maintaining inventory systems to track and manage physical assets, including furniture and equipment and assignment of building keys
- Prepare and support procurement and service contracts, renewals, and changes and additions to contractual agreements.
- Assist with the development and coordination of operational and capital projects, as applicable
- Process and maintain service contracts including conducting annual review of vendors and contractors’ performance
- Raise and follow-up on issues identified through Joint Health and Safety inspections with property management and/or custodial staff
- Ensure compliance with Occupational Health and Safety Act (OHSA), Accessibility for Ontarians with Disabilities Act (AODA) and other relevant government regulations
- Travel between the office buildings, as required

- Required Technical Competence
- Demonstrated effective working knowledge, expertise, practical application related to:
- Proficiency at an intermediate level in the use of internet, various computer programs in a Windows environment (e.g., Word, Excel, PowerPoint, SharePoint, and other office programs and equipment.
- Able to analyze, interpret and present information to support decision making.
- Highly organized and ability to manage concurrent deadlines and multiple priorities.
- Self-starter with exceptional interpersonal, verbal and written communication skills, and team building skills.
- Excellent planning, multi-tasking and problem-solving skills.
- Ability to adapt to new, different or changing requirements.
- Strong attention to detail.
- Valid Ontario driver’s license, access to reliable transportation and ability to travel to other office locations.
- Current and satisfactory Criminal Records Check and Vulnerable Sector Check.
