Position Summary

Lakelands Public Health is seeking a Digital Transformation Specialist to provide governance and lifecycle oversight of our SharePoint Online and Microsoft 365 environment, supporting approximately 300 staff across four sites.

Reporting to the IT Manager, this role will lead information architecture, records retention, and compliance controls within a regulated public health environment. Beyond administration, this individual will act as a catalyst for operational efficiency, identifying opportunities for automation through the Microsoft Power Platform and developing a comprehensive training program to empower staff in a modern digital workplace.

Key Responsibilities

  • Proactively identify manual workflows across programs and design automated solutions leveraging Power Automate and Power Apps to enhance organizational productivity.
  • Design, implement, and lead a formal M365 Training Program, creating resources (documentation, video tutorials, and live workshops) specifically for SharePoint Online and Power Platform adoption.
  • Administer and govern the SharePoint Online tenant, site collections, and integrated Microsoft 365 services.
  • Design and maintain taxonomy, metadata frameworks, and intuitive site structures to ensure data discoverability.
  • Implement and manage retention policies, sensitivity labels, and Purview-based controls to meet public-sector records and privacy requirements.
  • Provide Tier 3 escalation support and offer functional guidance to unionized staff, including overseeing responses to ticketed helpdesk requests.
  • Work alongside programs to implement compliant, user-friendly collaboration spaces that align with program and divisional goals.

Qualifications

  • Minimum 5 years of experience administering SharePoint Online or Microsoft 365 collaboration environments.
  • Proven experience with the Microsoft Power Platform, including demonstrated ability to build flows and applications that solve specific business and operational problems.
  • Familiarity with public-sector information governance, privacy (PHIPA/MFIPPA), and records management requirements.
  • Strong ability to translate complex technical concepts into accessible training materials for a diverse workforce.

Education & Experience

  • A university degree or college diploma in Information Technology, Information Management, Records Management, or a related field.
  • Minimum 5-7 years of progressive experience in an information governance or records management-related role.
    Professional designations such as Certified Records Manager (CRM or Information Governance Progressional (IGP) are highly valued.
  • Experience in change management, adult learning, or instructional design are considered assets.
